Hoozoo is operated by Hoozoo ITZ Pty Ltd. Hoozoo is a professional relationship, recruitment and talent management platform designed to help freelancers, contractors, producers, companies and collaborators create, maintain, search and manage professional profiles, project relationships and work opportunities.

This Privacy Policy explains how Hoozoo collects, uses, stores, shares and protects personal information when you access or use our website, platform, mobile application, login tools, profile tools, CV/resume tools, search and matching features, communications features and related services.

In this Privacy Policy, “Hoozoo”, “we”, “us” and “our” refer to Hoozoo ITZ Pty Ltd and the Hoozoo platform. “You” and “user” refer to any person who accesses or uses the Hoozoo platform, including freelancers, contractors, producers, employers, clients, companies, recruiters, collaborators and other account holders.

This Privacy Policy should be read together with our Terms of Use and any other notices provided to you when you use particular Hoozoo features.

 

1. Scope of this Privacy Policy

 

This Privacy Policy applies to personal information collected through:

  • the Hoozoo website;

  • the Hoozoo platform and related software;

  • Hoozoo mobile applications;

  • account registration and login, including LinkedIn and Facebook/Meta single sign-on;

  • user-created profiles;

  • CV, resume, portfolio and showreel upload tools;

  • profile import, parsing and profile-generation tools;

  • search, filtering, matching, shortlisting and project-management tools;

  • messaging, profile-request, notification and relationship-management features;

  • customer support, account administration and other communications with Hoozoo.

 

This Privacy Policy does not apply to third-party websites, platforms or services that Hoozoo does not control, even if they are linked from our platform.

 

2. What personal information we collect

 

The types of personal information we collect depend on how you use Hoozoo, the features you access, the information you choose to provide, and the permissions you grant through third-party login or profile-import services.

2.1 Account and identity information

We may collect:

  • first name and last name;

  • username or account ID;

  • email address;

  • phone number;

  • profile picture or avatar;

  • password or authentication credentials, where applicable;

  • login provider details, such as LinkedIn, Facebook/Meta or other third-party login identifiers;

  • account status, preferences and settings.

Where you use LinkedIn, Facebook or another third-party service to log in, we do not receive your password for that service.

 

2.2 Professional profile information

 

We may collect information that you provide or choose to make available through your Hoozoo profile, including:

  • current and previous roles;

  • job titles;

  • employers, companies, clients and projects;

  • employment dates and project dates;

  • education, degrees, qualifications, institutions and graduation dates;

  • skills, experience and areas of expertise;

  • software, tool and technical proficiencies;

  • portfolio links, showreel links, websites and social media links;

  • certifications, licences, awards and achievements;

  • professional preferences, such as preferred project types, locations, working arrangements and availability;

  • rates, fee ranges or commercial preferences, where you choose to provide them;

  • other information you add to your profile.

2.3 CV, resume, portfolio and uploaded document information

If you upload, import or share a CV, resume, portfolio, showreel, document or similar file, we may collect and process:

  • the file itself;

  • information contained in the file;

  • extracted or parsed profile information;

  • employment, education, skill, contact and project details contained in the file;

  • metadata associated with the upload, such as file name, file type, upload date and account ID.

 

Where Hoozoo uses automated tools to help parse or structure information from a CV, resume or uploaded file, you are responsible for reviewing and correcting the resulting profile information before relying on it or making it visible to others.

 

2.4 Information imported from LinkedIn

If you choose to connect or log in using LinkedIn, we may collect information made available to Hoozoo by LinkedIn, depending on:

  • the permissions you grant;

  • LinkedIn’s API access rules;

  • the access approved for Hoozoo;

  • your LinkedIn settings.

 

This may include your name, email address, profile picture, LinkedIn account identifier and other profile information made available by LinkedIn.

Hoozoo does not represent that LinkedIn login verifies your identity. LinkedIn login is used to help authenticate access and, where permitted, assist with profile creation or account linking.

 

2.5 Information imported from Facebook/Meta

If you choose to connect or log in using Facebook or another Meta service, we may collect information made available to Hoozoo by Meta, depending on:

  • the permissions you grant;

  • Meta’s platform rules;

  • your Facebook or Meta account settings.

 

This may include your name, email address, profile picture and Facebook/Meta account identifier.

 

2.6 Search, matching and platform activity

 

When you use Hoozoo, we may collect information about how you interact with the platform, including:

  • searches performed;

  • filters used;

  • profiles viewed;

  • profiles shortlisted;

  • profile requests sent or received;

  • projects created or managed;

  • skills, experience, availability or other criteria used in searches;

  • whether a profile appeared in or was excluded from a search result;

  • notifications sent, opened or acted upon;

  • updates made to your profile after receiving requests or alerts.

 

We use this information to operate, improve and secure Hoozoo’s search, matching, profile-update and relationship-management features.

 

2.7 Communications and relationship records

 

Hoozoo may allow users to manage professional relationships, communications, reminders, notes and project histories. Depending on how you use these features, we may collect:

  • messages sent through the platform;

  • profile requests and responses;

  • notes, reminders and follow-up records;

  • project shortlists and groups;

  • records of interactions with other users;

  • feedback or relationship-management information added by users.

 

Some of this information may be visible to other users, while other information may be private to the user or organisation that created it, depending on the feature and account settings.

 

2.8 Private notes created by users

 

Hoozoo may allow users to create private notes or internal relationship records about freelancers, contractors, collaborators, contacts, companies, projects or professional interactions.

Private notes are user-controlled records. They are created, managed and controlled by the user or organisation that enters them into the platform.

Private notes are not part of a public Hoozoo profile and are not displayed to the person who is the subject of the note, unless the controlling user chooses to disclose that information outside Hoozoo or is legally required to do so.

Access to private notes is limited to:

  • the user or organisation that controls the private notes;

  • other authorised users within that same account or organisation, where permissions allow; and

  • authorised Hoozoo staff where access is reasonably necessary for platform administration, security, technical support, legal compliance, dispute resolution, enforcement of our terms, or protection of users and the platform.

Users who create private notes are responsible for ensuring that those notes are lawful, accurate, professional, relevant and appropriate.

Users must not use private notes to record unlawful, discriminatory, offensive, misleading, excessive or unnecessary information. Users must not record sensitive information about another person unless they have a lawful basis to do so and any required consent.

 

2.9 Technical and device information

 

We may collect technical information when you access Hoozoo, including:

  • IP address;

  • browser type and version;

  • device type;

  • operating system;

  • app version;

  • pages or features accessed;

  • session data;

  • error logs;

  • security logs;

  • approximate location inferred from IP address;

  • cookies or similar technologies.

 

This information helps us operate, secure, troubleshoot and improve the platform.

 

2.10 Customer support and communications

If you contact Hoozoo, we may collect:

  • your name and contact details;

  • the content of your enquiry;

  • support requests;

  • feedback;

  • complaints;

  • records of our communications with you.

 

3. How we collect personal information

 

We may collect personal information:

  • directly from you when you create an account, complete a profile, upload files or use Hoozoo features;

  • from third-party login or profile services, such as LinkedIn or Facebook/Meta, where you authorise this;

  • from other Hoozoo users, such as where a producer, employer, client or collaborator adds professional relationship information, project information or notes;

  • automatically through cookies, logs and platform analytics;

  • from publicly available sources, where permitted by law;

  • from service providers who help us operate the platform.

 

Where practical, we collect personal information directly from you. In some cases, information may be provided by another user, such as when a producer uploads a CV received from a freelancer or creates an internal project record.

 

4. Why we collect and use personal information

 

We collect and use personal information to operate Hoozoo and provide our services, including to:

  • create and manage user accounts;

  • authenticate users and provide secure access;

  • enable LinkedIn, Facebook/Meta or other third-party login;

  • help users create, import, complete and update professional profiles;

  • parse CVs, resumes or uploaded documents into draft profile information;

  • display professional profiles to relevant users, subject to platform settings;

  • enable search, filtering, matching, shortlisting and project discovery;

  • help freelancers and contractors be considered for suitable opportunities;

  • help producers, clients, employers and companies identify suitable talent;

  • notify users about profile requests, search appearances, profile gaps, availability requests or project opportunities;

  • allow users to manage professional relationships, notes, reminders and communications;

  • operate messaging, notifications and account communications;

  • provide customer support;

  • detect, prevent and respond to fraud, misuse, security incidents and technical issues;

  • improve, maintain and develop Hoozoo features;

  • comply with legal obligations;

  • enforce our Terms of Use and other policies.

 

5. Legal bases for processing

Where required by applicable law, including the GDPR, we rely on one or more legal bases to collect and use personal information.

These may include:

  • performance of a contract, where processing is necessary to provide Hoozoo services to you;

  • consent, where you authorise a specific use, such as connecting LinkedIn or Facebook/Meta, importing profile information, or receiving certain communications;

  • legitimate interests, where we use information to operate, secure, improve and administer the platform, provided those interests are not overridden by your rights;

  • legal obligation, where we are required to collect, retain or disclose information by law;

  • protection of rights and safety, where necessary to protect Hoozoo, users or others.

You may withdraw consent where processing is based on consent. Withdrawing consent may affect your ability to use some features.

 

6. Profile visibility, search and matching

 

Hoozoo is designed to help users create and maintain professional profiles and to help relevant users discover, search, shortlist and connect with professional talent.

Depending on your account type, settings and use of the platform, your profile information may be visible to:

  • your existing Hoozoo connections;

  • producers, clients, employers or collaborators you interact with;

  • users who search for talent or professional profiles;

  • users with access to a project, shortlist or workspace;

  • other users as described within the platform at the time you make information available.

Hoozoo may use your profile information, skills, experience, availability, preferences and platform activity to rank, filter, match, recommend or display your profile in search results or project tools.

Hoozoo may also notify you if your profile appears in a search, is requested by another user, or may be improved to better match certain opportunity criteria. These features are intended to help users keep professional information current and relevant.

7. CV parsing and profile generation

Hoozoo may offer tools that help convert CVs, resumes or professional documents into structured profile information.

These tools may use automated processing to identify and extract information such as names, contact details, roles, employers, project history, dates, qualifications, skills, software proficiencies and other professional details.

Automated parsing may be incomplete or inaccurate. Users should review, correct and approve profile information before using it, publishing it or sharing it with others.

Where a user uploads another person’s CV, resume or professional information, that user is responsible for ensuring they have the right to upload and use that information through Hoozoo.

8. Private records and user responsibility

Some Hoozoo features allow users or organisations to create private records, notes, project histories, reminders or internal relationship information.

Private records and private notes are user-controlled records. They are controlled by the user or organisation that creates them, subject to this Privacy Policy, our Terms of Use and applicable law.

The user or organisation that creates those records is responsible for:

  • ensuring the information is accurate, relevant and lawful;

  • using the information only for legitimate professional purposes;

  • avoiding excessive, offensive, discriminatory or misleading content;

  • avoiding sensitive information unless legally permitted;

  • complying with employment, privacy, anti-discrimination and other applicable laws.

Hoozoo may access, remove or restrict private records only where reasonably necessary for platform administration, security, technical support, legal compliance, dispute resolution, enforcement of our terms, or protection of users and the platform.

 

9. Sensitive information

We do not require users to provide sensitive information unless it is necessary for a specific feature or legal requirement.

Sensitive information may include information about health, racial or ethnic origin, political opinions, religious beliefs, philosophical beliefs, union membership, sexual orientation, criminal record, biometric information or other categories protected by law.

Users should not include sensitive information in profiles, CVs, private notes, messages or project records unless they have a lawful basis to do so and, where required, the relevant person’s consent.

If we become aware that sensitive information has been provided unnecessarily or unlawfully, we may remove, restrict or delete it.

 

10. Cookies, analytics and similar technologies

Hoozoo may use cookies, pixels, local storage, software development kits and similar technologies to:

  • keep users logged in;

  • remember preferences;

  • secure accounts;

  • understand platform usage;

  • diagnose technical issues;

  • improve features and performance;

  • detect misuse or suspicious activity.

You may be able to control cookies through your browser or device settings. Some features may not work properly if cookies or similar technologies are disabled.

If Hoozoo uses non-essential cookies, analytics or marketing technologies that require consent under applicable law, we will seek consent where required.

 

11. Marketing communications

We may send you service-related communications, such as account alerts, security notices, platform updates, profile requests, project notifications and administrative messages.

We may also send marketing or promotional communications where permitted by law or where you have consented to receive them.

You can unsubscribe from marketing communications by using the unsubscribe link in the message or contacting us. You may still receive necessary service-related communications.

Hoozoo does not sell your personal information.

 

12. When we share personal information

We may share personal information in the following circumstances.

12.1 With other Hoozoo users

We may share profile, project, search, matching, communication or relationship information with other users where this is necessary to provide the platform features you use or where you have made the information available through your account settings or actions.

For example, if you publish a professional profile, respond to a profile request, join a project shortlist, apply for an opportunity or communicate with another user, relevant information may be visible to that user.

12.2 With service providers

We may share personal information with trusted service providers who help us operate Hoozoo, including providers of:

  • cloud hosting and storage;

  • authentication and login services;

  • email and notification delivery;

  • security monitoring;

  • analytics and error reporting;

  • customer support tools;

  • payment processing, if applicable;

  • software development, maintenance and infrastructure support.

Service providers are only authorised to use personal information as needed to provide services to Hoozoo and must protect it appropriately.

12.3 With LinkedIn, Facebook/Meta and other login providers

Where you choose to connect or log in using LinkedIn, Facebook/Meta or another third-party service, we may exchange limited information with that provider for authentication, account linking, token management and related security purposes.

This may include a unique user identifier, authentication token, account-linking information and other information necessary to operate the login or connection.

Your use of LinkedIn, Facebook/Meta or other third-party services remains subject to those services’ own terms and privacy policies.

12.4 For legal, security or safety reasons

We may disclose personal information where reasonably necessary to:

  • comply with laws, regulations, court orders or lawful requests;

  • protect the rights, safety or property of Hoozoo, users or others;

  • investigate fraud, misuse, security incidents or technical issues;

  • enforce our Terms of Use or other policies;

  • respond to disputes, complaints or legal claims.

12.5 Corporate transactions

If Hoozoo is involved in a merger, acquisition, investment, financing, restructure, sale of assets or similar transaction, personal information may be disclosed to relevant parties as part of that transaction, subject to appropriate confidentiality and legal protections.

 

13. Overseas storage and processing

 

Hoozoo is based in Australia. We may use service providers, infrastructure and technology partners located in Australia and overseas.

Personal information may be stored, accessed or processed in countries where Hoozoo or our service providers operate. These may include Australia, the United States and other countries depending on the location of our infrastructure and service providers.

Where required by law, we will take reasonable steps to ensure that overseas recipients handle personal information consistently with applicable privacy requirements.

 

14. Security of personal information

 

We take reasonable technical, organisational and administrative steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

These steps may include:

  • encryption in transit;

  • encryption at rest where appropriate;

  • access controls;

  • role-based permissions;

  • logging and monitoring;

  • secure password handling;

  • token management;

  • data minimisation;

  • backup and recovery controls;

  • internal policies and staff access restrictions.

 

No method of transmission or storage is completely secure. While we take reasonable steps to protect personal information, we cannot guarantee absolute security.

Users are responsible for maintaining the security of their own login credentials and for using strong passwords and appropriate account security practices.

 

15. Data retention

 

We retain personal information for as long as reasonably necessary to provide Hoozoo services, operate the platform, maintain business records, comply with legal obligations, resolve disputes and enforce our agreements.

Retention periods may vary depending on:

  • the type of information;

  • the reason it was collected;

  • whether the account remains active;

  • legal, tax, accounting or regulatory requirements;

  • security and fraud-prevention needs;

  • whether deletion has been requested.

Where a user disconnects LinkedIn, Facebook/Meta or another third-party login service, we will stop collecting new information from that service and revoke or delete associated tokens where required.

Where a user requests deletion of their account or personal information, we will take reasonable steps to delete or de-identify personal information within 30 days, unless we are required or permitted to retain it for legal, security, dispute-resolution, backup or legitimate business reasons.

Information may remain in backups for a limited period before being overwritten or deleted according to our backup retention procedures.

Some information may also remain in user-controlled records created or controlled by other users, such as project records, communications, private notes or business records. Where appropriate and legally required, we will take reasonable steps to address deletion requests relating to such information.

 

16. Access, correction and deletion

You may request access to personal information we hold about you.

You may also request that we correct, update or delete your personal information.

Where possible, you can access, review and update your account and profile information directly through the Hoozoo platform.

We will respond to privacy requests within a reasonable period and, where applicable, within the timeframe required by law.

 

17. Data deletion instructions

You may request deletion of your Hoozoo account or personal information at any time.

Your request should include the email address or account ID associated with your Hoozoo account.

Verified deletion requests will generally be processed within 30 days, unless we are required or permitted to retain information for legal, security, dispute-resolution, backup or operational reasons.

If you logged in using Facebook/Meta, you may also be able to request deletion through Facebook or Meta’s app settings. Where Meta sends Hoozoo a deletion request relating to your account, we will process it in accordance with applicable platform requirements.

If you logged in using LinkedIn, you may disconnect Hoozoo through your LinkedIn settings. You may also contact Hoozoo directly to request deletion of LinkedIn-sourced data associated with your Hoozoo account.

 

18. European and United Kingdom users

If the GDPR, UK GDPR or similar laws apply to your personal information, you may have additional rights, including the right to:

  • access your personal information;

  • correct inaccurate personal information;

  • request deletion of personal information;

  • restrict processing;

  • object to processing;

  • request data portability;

  • withdraw consent where processing is based on consent;

  • lodge a complaint with a relevant supervisory authority.

Hoozoo will honour these rights where required by applicable law.

Where personal information is transferred outside the European Economic Area, the United Kingdom or another jurisdiction with transfer restrictions, we will take steps required by applicable law to protect the information.

19. Australian privacy rights and complaints

Hoozoo is committed to handling personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

We will acknowledge and respond to privacy complaints within a reasonable period. If you are not satisfied with our response, you may be able to contact the Office of the Australian Information Commissioner or another relevant privacy regulator.

20. Third-party links and services

Hoozoo may contain links to third-party websites, profiles, portfolios, showreels, social media pages or services.

We are not responsible for the privacy practices, content or security of third-party websites or services. You should review their privacy policies before providing information to them.

21. Children and young users

Hoozoo is intended for professional and work-related use. It is not directed to children under 16.

If we become aware that we have collected personal information from a child under 16 without appropriate consent or lawful basis, we may delete or restrict that information.

 

22. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal obligations or business practices.

The updated version will be published on the Hoozoo website or made available through the platform.

Where changes are material, we may notify users by email, in-app message or another appropriate method.

Continued use of Hoozoo after an updated Privacy Policy takes effect means you accept the updated Privacy Policy, to the extent permitted by law.
